Privacy policy

GroundsQuote ("we", "us") provides quoting software for lawn care and landscaping businesses. This policy explains what information we collect through groundsquote.com, the GroundsQuote dashboard and the quote widget our customers place on their own websites, how we use it, and the choices you have.

Who this covers

• Businesses that sign up for a GroundsQuote account and their team members.
• Homeowners who request a quote through a business's widget or respond to a quote they were sent.
• Visitors to groundsquote.com.

When a homeowner uses a business's widget, that business decides how the homeowner's information is used and is responsible for its own privacy practices. We process that information on the business's behalf to deliver the service.

Information we collect

From businesses

• Account details: business name, your name, email address, phone number and password (stored hashed).
• Business configuration: services, pricing rules, logo, colors, notification settings and team member invitations.
• Billing: your plan and subscription status. Card details are collected and stored by Stripe, our payment processor; we never see your full card number.

From homeowners

• Contact details entered in the widget: name, email address, phone number and any notes.
• The property address, its map location, the measured boundary, building outlines, exclusion areas and lawn area.
• Which services were requested, quotes sent, and whether a quote was accepted or declined, with any note left.

Automatically

• Technical data such as IP address, browser type and the pages visited, used for security, rate limiting and to understand how the site is used. groundsquote.com uses privacy-friendly, cookie-less analytics.
• The dashboard uses cookies strictly necessary to keep you signed in and remember which business you are working in.

How we use information

• To provide the service: measure properties, price and deliver quotes, notify businesses of new requests and responses, and send quote reminders to homeowners on the business's behalf.
• To operate accounts and billing, including transactional emails such as sign-up confirmation, password resets, invitations and receipts.
• To keep the service secure, prevent abuse and enforce our terms.
• To improve the product. We do not sell personal information and we do not use homeowner information for our own marketing.

Service providers

We rely on a small number of providers to run GroundsQuote. Each receives only what it needs:

• Supabase hosts our database and authentication.
• Vercel hosts the websites and application.
• Google Maps Platform provides address search, maps and imagery used to measure properties.
• Stripe processes subscription payments.
• Resend delivers our emails.

We may also disclose information when required by law or to protect the rights, safety or property of GroundsQuote, our customers or others.

Retention

Business data is kept for as long as the account is active. Homeowner data is kept for as long as the business it was submitted to keeps it; businesses can archive records at any time. When an account is closed we delete or anonymize its data within a reasonable period, except where we must keep records for legal, tax or security reasons.

Your choices

• Businesses can view and update their account and data in the dashboard, and can cancel from the Billing page.
• Homeowners who want their information corrected or removed should contact the business they requested a quote from. You can also contact us and we will help route the request.
• Depending on where you live, you may have rights to access, correct, delete or restrict the use of your personal information. Email us to exercise them.

Security

Data is encrypted in transit and at rest. Each business's data is isolated at the database level, access is role-based, and public endpoints are rate limited. No system is perfectly secure, so please use a strong, unique password and keep your team list current.

Children

GroundsQuote is a business tool and is not directed at children under 16. We do not knowingly collect information from them.

Changes

We will post any changes to this policy on this page and update the date above. Significant changes will be announced to account holders by email.
